A forest wedding runs on the same spreadsheet as any other Indian wedding — plus a handful of decisions that city hotels never force: which lawn for which light, what the weather call deadline is, and how to get forty of the groom's friends into safari jeeps by 6 a.m. the morning after the sangeet. Here is the timeline that makes it all boring — in the best way — by the week itself.

12 months out: lock the date, then the estate

Work backwards from the muhurat. The peak window — Dev Uthani Ekadashi (mid-November) through Basant Panchami (early February) — is when Bhopal's weather is perfect and when everyone else wants your weekend too; capacity venues genuinely book 9–12 months out. April–June muhurats buy you availability and better rates in exchange for moving day functions indoors.

Site visit checklist for any estate you're considering:

  • Walk every venue at the hour you'd use it — a lawn at 4 p.m. and the same lawn at 7 p.m. are different rooms.
  • Count real room inventory against your guest list, not the brochure's.
  • Ask for the named planner you'd work with, not the sales manager.
  • Ask what happens if it rains. If the answer takes more than one sentence, keep looking.

9 months out: sequence the functions

This is where an estate pays off — each function gets its own setting instead of the same ballroom re-dressed. A sequence that works beautifully across our grounds:

Assign every outdoor function its indoor twin now, in writing. The pillarless Aria Grand partitions into three, so even three simultaneous contingencies have somewhere to go.

6 months out: rooms, travel, vendors

Room block. Map guests to the estate's ten room categories — elders near the venues, families in the master suites, the baraat crowd wherever the noise won't matter. Overflow lists go to the planner, not to guests.

Travel grid. Bhopal makes this easy — ~20 daily flights into Raja Bhoj (21 km from the estate), the Delhi Vande Bharat into Rani Kamlapati (10–12 km). Publish arrival guidance with the invitation; run airport shuttles in waves, not per-guest.

Vendors. Decorators, photographers and choreographers who've worked forest light before are worth their premium — dusk under a canopy is gorgeous and merciless in equal measure. The estate's panel has done these lawns dozens of times; outside vendors are welcome and get a venue walkthrough.

3 months out: the safari question, menus, weather doctrine

Guest safaris. The morning-after-sangeet safari has become the signature of weddings here — but permits at Ratapani have small quotas, so guest groups are booked through the travel desk now, not that week. (Marrying July–September? The reserve is closed for monsoon — swap in Bhimbetka's rock shelters, which never close.)

Menus. Tasting visit. Build the family recipes in with the kitchen — the brief is your menu, executed with the farm's produce, not a hotel's standard file with your names on it.

Weather doctrine. Agree the decision deadline for each outdoor function (typically 4–6 hours out), who makes the call — planner plus one named family member, nobody else — and what moves where. Decided now, a weather call in the week itself is logistics, not drama.

The week itself

Guests land, shuttles run, the planner owns the clock. Your only actual job: eat breakfast every day. In our experience the couples who do are the ones who remember their own wedding.
